New Changes for Microsoft 365 and Zoom Terms of Use – Here’s What You Need to Know.

Over the coming weeks you will start to see changes related to Microsoft 365 and Zoom services that will optimize security, data and storage management. Here’s what you can expect and where to find more information and support:
Guest Access Review & Guest Accounts
To ensure McMaster ‘guests’ and collaborators have appropriate access to the apps and our data, Teams and Group owners will receive semi-annual Guest Access Review notifications starting October 2022 and have 30 days to complete the access review. More on guest access review [Guest Access Review & Guest Accounts (sharepoint.com)]
Teams & Groups Expiration
Teams/Groups will expire 180 days from the date and time the team was last used. Team and Group owners will be notified in advance and will have the option to renew. More on Teams & Groups Expiration [Teams & Groups Expirations (sharepoint.com)]
Teams Meeting Recordings Expiration
All new Teams recording files (post June 2022) will automatically expire 365 days after they are recorded. [More on Teams recording files expiration [Teams Meeting Recordings Expiration (sharepoint.com)]
Teams Chat Messages Expiration
Microsoft Teams chat messages will only be saved for 365 days after sending. This ensures data are not indefinitely stored if they are no longer needed. This will reduce risk related to data breaches and maximize the usage of storage space. More on Teams chat message expiration [Teams Chat Messages Expiration (sharepoint.com)]
Safe Links in Teams
From June 9th, 2022, when clicking on a link in a Teams chat or channel, Safe Links will redirect the link to check if it is harmful. If a link is deemed unsafe, it will block access to that link. Safe Links protect us from malicious links sent in Teams. More on Safe Links [Safe Links (sharepoint.com)]
Zoom Meeting Recordings Expiration
All existing and new Zoom meeting recordings will be automatically set to expire 365 days after they have been recorded. [Zoom Recording, Chat, & Document Expiration (sharepoint.com)]
